Job Description:

National Incubation Center, Faisalabad is a joint venture of FFC, Change Mechanics, Founder Institute, CyberVision Technologies and Mehmood Group, which is funded by Ignite, Ministry of IT & Telecom (MoITT). NIC, Faisalabad is the first purpose-built facility in Faisalabad to serve innovators, change-makers, and passionate leaders from agriculture, textile, technology, climate change and energy verticals. NIC, Faisalabad will offer incubation, mentoring, free state-of-the-art working space, linkages with industry and investors to aspiring and budding startups and entrepreneurs.

We are looking for a Finance & Admin Assistant who will be responsible for preparing, coordinating, and administering the financial records, systems and process including accounting, bookkeeping, and payroll also analyze all financial data, monitor all transactions, and prepare payments, bank reconciliation for same. Finance and Admin Assistant should be a professional who will help in executing the general administrative and clerical duties that would help in the achievement of the organizational goals and objectives.

Purpose: support all the finance and administration functions.

Directly Responsible For:

  • Finance and Admin Assistants will be primarily responsible for executing daily financial activities that are in compliance with financial best practices and standards.
  • Develop effective and efficient financial processes/procedures for procurement and payments  in compliance with financial regulations
  • Coordinate with admin team to ensure timely submission of bills
  • Responsible for all vouchers and supporting documents should be properly filed and scanned.
  • Maintaining tax data such as generate weekly CPRs, withholding tax certificates, and reconciliation with Book and CPRs.
  • Regularly updates accounts posting, processing bills, create weekly CRPs for FBR.
  • Assist in making accurate entries in the accounting system to maintain an accurate filing system by processing the checks, expense reports, and reconciliation of accounts.
  • To assist in tracking the journal entries by reviewing the source documentation and making relevant adjustments, assisting in the preparation of audit requirements, supporting in the preparation of planning and to make sure that they are standardized
  • To ensure timely completion of the assigned accounting tasks that are in accordance with the outlined policies and procedures
  • Finance and Admin Assistants will need to resolve any financial issue going on with the stakeholders.
  • Assist in implementation of policies, systems, and procedures to enhance and ensure efficient management of finances.
  • Reviewing requisitions and payments before approval by the Director.
  • Reviewing data captured and ensure checking accuracy of Trial Balance, statement of financial position, and statement of income.
  • Liaising with banks for the payment processing
  • Positively contribute to organizational culture and participate fully in staff processes.
  • Proper execution of requisitions, expenditure and accountability of organizational resources.
  • Reconciliation and filing of bank statements on a monthly basis with appropriate approval.
  • The procurement process and ensure compliance to prudent financial principles and value for money.
  • Any other responsibilities which may be related to prudent resource management, statutory compliance.

Qualifications and Experience:

  • BS degree in accounting or finance from HEC recognized institute
  • At least one-year proven skills in finance management in reputable and comparable organizations.
  • Expertise in accounting software preferably Quick Book software.
  • Experience of development and government sector including management of grants.
  • Experience of managing grants within contractual conditionality

  • Experience of the NGO sector, grant management and audits.
  • Strong computer skills including Microsoft Office, Accounting software (Quick Book)
